Job Descriptions
Provides office support to either an individual or team and is vital for the smooth-running of a business. Their duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Chinese is required.
Responsibilities:
- Provide front-desk coverage by managing a busy, multiline phone system, greeting guests as they enter the office, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment
- Provide administrative support to senior leaders, including email correspondence and generation and distribution of memos, letters, spreadsheets, forms, and faxes
- Plan, organize, and schedule company meetings in the office, off-site, and via videoconference
- Coordinate domestic and international travel arrangements for employees
- Maintain filing system, contact database, employee list, and inventory
- Order and oversee office supplies and food deliveries for group meetings
- Can do the billing; generating the invoice about orders in any platforms
Qualifications
- High school diploma or equivalent.
- Proven administrative experience.
- Superb written and verbal communication skills.
- Strong time-management skills and multitasking ability.
- Previous success in office management.
- Chinese is preferred.
- Strong interpersonal skills.
- Familiar with the software used to connect with customers and gather their information.
- Knowledge of applicable products and markets.
- Strong verbal communicator.
- Can do the billing (generate the invoice)
